Koriumz is committed to protecting customer and user privacy. This Privacy Policy explains how Sentra Email Protection processes information when used with Microsoft Outlook and Microsoft 365.
Local email protection processing
Sentra Email Protection is designed to perform email protection analysis locally within the Outlook add-in wherever supported.
For protection purposes, the add-in may access and process information associated with the message being composed, including:
- Email recipients and recipient domains
- Email body content
- Attachment names and metadata
- Supported attachment content
- Detected sensitive-information patterns
- User review and acknowledgement state
In the current release, this message-content analysis is performed within the Outlook add-in. Email recipients, email body content, attachment content, and sensitive-information findings are not sent to the Koriumz licensing API as part of the license validation process.
Cloud control-plane processing
Koriumz operates cloud services used for authentication, tenant onboarding, licensing, entitlement management, configuration management, seat management, security, and operation of the service.
When the add-in communicates with the Koriumz licensing service, Koriumz may process:
- Microsoft Entra tenant and user identifiers associated with the authenticated request
- Identity claims contained in authentication tokens as required to authenticate and authorize the request
- Sentra add-in version and client platform
- Entitlement and configuration version information
- Subscription, trial, entitlement, and licensed-seat status
- User first-seen, last-seen, seat-assignment, and seat-release timestamps
- Technical, security, diagnostic, and operational information necessary to operate and protect the service
Purpose of processing
Koriumz processes this information to provide email protection, authenticate users and organizations, provision trials and subscriptions, enforce licensing and entitlements, distribute configuration, maintain service security and reliability, diagnose problems, and support customers.
Data storage
Koriumz stores cloud control-plane information required to operate the service, including tenant, subscription, entitlement, configuration, and licensed-user records.
The current licensing data model records a Microsoft Entra user identifier and licensing activity information for seat management. It does not store message recipients, message body content, attachment content, or sensitive-information findings as part of the licensing record.
Microsoft services
Koriumz uses Microsoft 365, Microsoft Entra ID, and Microsoft Azure services to provide authentication, Outlook integration, hosting, licensing, and related product functionality.
Customer responsibilities
Customers are responsible for determining appropriate product configuration and for ensuring their deployment and use of Sentra comply with applicable laws, regulations, contractual obligations, and internal policies.
Changes to this policy
Koriumz may update this Privacy Policy when product functionality or data-processing practices change. The current version will be published on the official Koriumz website.
